Hi,

We have a number of shared access mailboxes in our Exchange Server. These are usually generic accounts like sales@..., enquiries@..., etc. which are accessed by various users on the network but no one actually logs in as these accounts (ie. no one logs into the PC as sales or enquiries, etc).

After archiving the mails in these mailboxes, we can see the stub messages in these mailboxes from the user who have access to these mailboxes. However, if we click on "View message" from one of the archived messages, a web page pops up that says :-


User DOMAIN\ArchiveAccount does not have permission to read mailbox ArchivedUser@domain.com.

Where :-
DOMAIN is the internal DOMAIN of the network here
ArchiveAccount is the Domain Admin account used for the Archiving Service
ArchivedUser is the shared access account we are trying to access (eg. sales, enquiries, etc).

How do we gain access to the shared mailbox archived emails from the other users Outlooks ?

OK. Worked out that it was because we have not restarted Outlook since installing the Outlook Add-in.

However, now that we have restarted Outlook, we discovered a new issue. Whenever we access any archived mails in the shared mailboxes the first time Outlook restarts, we have to provide the username and password for each shared mailbox we access. Say we have 4 shared mailboxes attached to our Outlook - sales, enquiries, support and accounts.

When we click on an archived mail in sales, we have to provide the sales account username and password. The same goes when we click on any archived mails in enquiries, support or accounts. This means that every user that accesses any shared mailboxes must also be given the username and password of the shared mailbox. This can get very tiresome if there are many shared mailboxes to open.

Is there a way around this as this would make this unworkable in a number of situations, for example :-

A manager gives access to his mailbox to his secretary. Under Outlook, the Secretary can have unrestricted access to his mailbox without ever knowing the manager's username and password, which could be a major security issue. Now, if the messages have been archived, the secretary will no longer be able to access the archived mails without knowing the manager's credentials.

Hi,

I wonder how you're granting permission to the shared mailboxes? If you do so using Active Directory permissions (via Active Directory Users & Computers for Exchange 2003, or Exchange Management Shell / Console for 2007) to grant full access to the mailbox to another user, then Exchange Archiver should automatically recognise that permission and allow access.

However, if you grant permissions using Outlook's delegate feature, or by setting permissions on individual folders of a mailbox through Outlook (e.g. publisher, reviewer, and so on), we won't use those for archived messages, since placeholders may be moved around between different folders after archiving.

If you're using AD permissions and it's not working as expected, let me know and we'll look into it.

You are absolutely correct in your assumption. Those mailboxes were shared via Outlook in a restricted fashion. Once we granted full access permission to the mailbox via Exchange Console, the Outlook Add-In works fine for the shared mailboxes now. Smile

I have another issue (which I mentioned to Michael Francis in an email), and that is I could not install the OWA Add-in to the Exchange server. The server is a MS SBS 2008 server running Exchange 2007 with Exchange SP2 installed. The OWA installer ran and then brought up two or three errors about not being able to patch some files and then said the installer ended prematurely.

Now, if I try to run the installer again, I get the option to Repair or Remove only (not install - that is greyed out). However, selecting either Repair or Remove brings up the error that I must have Exchange 2007 installed in order to install the OWA Add-in. So, now I can neither install nor remove the add-in.

Any assistance would be appreciated as we are actually evaluating ESA for suitability to recommend to a client (we are IT Resellers) and would like to be able to fully test out (or at least as much as we can) ESA in the next few days before we make the recommendation.

How does ESA cope with mailboxes that have tens if not hundreds of thousands of emails (yes, believe it or not, we do have clients like that !). Since ESA stores the archived mails as files in a folder, I'm presuming that this would mean the archive folder for these mailboxes would contain just as many files ? If so, as you probably know, navigating such folders with Windows Explorer is extremely painful and I'm curious how this affects the performance of ESA ?

As you've correctly assumed, we do store each message as its own file. However, we don't actually ever enumerate the contents of a directory; the metadata is stored in a small SQLite database, and the unique identifier for each message is directly convertible to its filename. This scales much better as the number of messages increases.

We also allow multiple archive stores, so if you want to keep the number of files in each directory down to a reasonable number, you can do. One possibility is to create a new store every month / quarter / year, and change the archive rule to point at the new store (messages already archived will remain where they were, and will still be accessible); other customers chose to partition their stores by user.
